1. Scope of Services
This policy applies to all payments made for:
- Training and capacity-building programs
- Audits, verifications, and assessment services
- Consultancy and advisory projects
- Membership or alumni registration fees
- Digital courses and online participation
2. Refund Policy
a. Training and Events
At Sustainable Management System Inc. (SMS), we believe in fostering learning and supporting individuals who may face unexpected circumstances.
- Registration fees for training programs or events are generally non-refundable once payment is confirmed.
- A substitute participant from the same organization may attend at no additional cost if prior notice is given at least 3 working days before the event.
- In case of any valid emergency or unavoidable situation (such as illness, family emergency, or natural disruption), participants may:
- Request a full refund, or
- Choose to retain the payment as an advance for participation in a future training program within the next available schedule.
- If SMS cancels or reschedules a training, participants will have the option to either:
- Receive a full refund, or
- Transfer the payment to the next scheduled session.
This flexible approach ensures that our programs remain accessible and supportive to individuals and organizations contributing to positive change.
b. Audits, Verifications, and Consultancy Services
- Payments made for audits, verifications, or consultancy projects are non-refundable once the work has commenced.
- Cancellations made before the start of work may be eligible for a partial refund, after deducting administrative or coordination fees (up to 20% of the total invoice).
- No refund will be issued once resources have been allocated or audit activities (such as document review, planning, or scheduling) have begun.
c. Digital Access and Online Services
- Fees for digital courses, e-learning content, or access to training materials are non-refundable once credentials or login details have been shared.
- Unauthorized sharing or misuse of access credentials may result in immediate termination without refund.
- In cases of verified technical issues that prevent access, SMS may extend access or grant an equivalent replacement program without additional charges.
3. Refund Processing
- Where applicable, approved refunds will be processed within 10–15 business days using the original payment method.
- Any bank, transfer, or payment gateway charges will be deducted from the refund amount.
- Refund confirmations will be shared via email upon completion of the process.
4. Cancellation Requests
All refund or cancellation requests must be submitted in writing to info@smscert.com, including the invoice or registration number and a brief explanation of the reason for cancellation.
Requests will be reviewed with fairness and consideration for each individual case, especially where genuine hardship or emergencies are involved.
5. No Physical Returns or Exchanges
As Sustainable Management System Inc. offers services only (no physical goods), returns or exchanges are not applicable.

This policy may be revised periodically to reflect updates in our operations, legal requirements, or ethical commitments. Updated versions will be posted on www.smscert.com and its sub-domains with the latest effective date.
